Meeting setup time calculator
A quick call should take seconds to start. In practice it means opening Google Calendar, creating an event, generating the Meet link, inviting attendees, and going back to Slack. Estimate how many hours, and how much money, that costs your team every month.
Where the minutes go
Each step is small. Repeated a few times a week by every person on the team, they add up to whole working days.
Setting up a call by hand
- Leave Slack and open Google Calendar
- Create an event and add a Meet link
- Look up and add every attendee
- Copy the link, go back to Slack and paste it
- Wait for the people who missed the message
With Instant Meet
-
Type
/meetin the conversation you're already in - The Meet link is posted and everyone gets a Google Calendar invite automatically.
What it adds up to by team size
With 3 quick calls per person a week, 5 minutes of setup each and an hourly cost of $50.
| Team size | Hours per month | Hours per year | Cost per year |
|---|---|---|---|
| 5 people | 5.4 | 65 | $3,250 |
| 10 people | 10.8 | 130 | $6,500 |
| 25 people | 27.1 | 325 | $16,250 |
| 50 people | 54.1 | 650 | $32,500 |
A 50-person team loses about 81 working days a year just setting up calls. Adjust the numbers for your team.
Calculator questions
Hours per month = team size × quick meetings per person per week × minutes lost per manual setup × 4.33 weeks per month ÷ 60. The cost is those hours multiplied by the average hourly cost of a team member.
Usually between 2 and 10 minutes. Creating the link is quick, but you also have to leave Slack, create the calendar event, add every attendee, copy the link, return to Slack, paste it, and often wait for people who missed it. The default of 5 minutes is a conservative middle point.
Any unplanned call that starts from a conversation: a thread that needs a 5-minute talk, a pairing session, an incident call, a quick 1:1. Recurring meetings that already live in the calendar are not included, because their setup cost is paid only once.
Typing /meet in a Slack channel, group, or direct message creates the Google Meet link, posts it in the conversation, and adds a Google Calendar event with everyone in that conversation invited. There is nothing to copy or invite by hand.
Yes. Instant Meet is free for individual users and small businesses, and it is also free for large companies for now.
